[Members] FOSDEM practical information

Hi all,

The preparations for FOSDEM 2014 and the 15h XMPP Summit are well on
their way. By now, most of you have signed up at the Summit page [2] and
acquired accommodation at the Aloft Brussels Schuman hotel.

I have received some practical information regarding our stand from the
FOSDEM organisation. Like last year, we share a large space with Jitsi
folks to realize the Realtime Lounge. Besides a single power source and
4 tables we have to decorate the space ourselves. For this, we need your
help.

I have listed various items of gear and other materials needed on our
FOSDEM wiki page [1]. Some of them already have names behind them, some
don't. That's where you come in! Please add your name if you can provide
for items that have not been 'claimed' yet, or let me know.

Of course you can sit back and relax a bit in our comfy bean bags
(yes!), chairs and cushions, but preferably while talking to visitors
about Jabber/XMPP and other realtime technologies. Please add your name
to the list of participants, *even* if you've already signed up on the
Summit page.

To prevent the area to become a giant pile of coats and bags, please
make use of the FOSDEM cloak room (first floor in the K building) or put
your coats in your car if possible. Note that we cannot guarantee the
safety of your belongings. This event is freely accessible, so watch
your stuff and that of others!

Decoration. The Realtime Lounge is organized by the XSF and Jitsi.
Therefore, we will regulate the way the area is used, including setup
and marketing materials. The walls around the lounge are not suitable
for hanging stuff off of, and we've been asked to not put posters and
banners on these walls. Instead, we will try to source projectors to put
information there. If you can bring projectors, let me know.

Demos. We need more of them. Please sign up for your extraordinary
realtime demos! If we have enough projectors, these can be used for your
demo. If you need other hardware, it would be great if you can bring
your own. Please let me know when you do!

FOSDEM has two rooms dedicated for Birds of a Feather (BoF) sessions
[3]. These can be used for small discussions (max 30 people). Signup
sheets will be at the FOSDEM infodesk. Let me know if you intend to sign
up for one, so we can make this known around the lounge and on the wiki
page.

As mentioned by Dave yesterday, the traditional XSF Dinner will be held
on Saturday at L'Auberge Bretonne, for members and sponsors. The XSF
solicits sponsorship for the dinner. So far we have signed up &yet for a
generous €1000. Thank you, yetis! If your company wants to sponsor as
well, don't hesitate to contact Dave, me or one of the other XSF Board
members.
